North Star Marine collects information that prospective clients choose to provide through the quotation form or by email. We use it to understand the yacht and requested service, respond to enquiries, prepare proposals, and coordinate services.
Information we receive
This may include your name, contact details, yacht information, locations, timing, crew or build-stage information, and additional notes you submit. Please do not send passwords, payment-card details, or sensitive personal information through the form.
How we handle it
Information is shared only with the people who need it to review or coordinate your enquiry, including relevant professional captains or service providers where appropriate. We retain enquiry records only as long as reasonably necessary for business, legal, and operational purposes.
Online quotation enquiries
Our quotation form stores your enquiry in our hosted operations system for authorised North Star Marine team members. It also forwards the details through FormSubmit, a third-party form-processing service, to our business mailbox. Website hosting and enquiry storage are provided through Sites infrastructure. We do not automatically send enquiry records to an AI service. Only submit information needed for the enquiry; do not include identity documents or sensitive records. We will arrange an appropriate way to share supporting documents when needed.
Private project workspaces
Invited owners and captains can share project documents, photographs, messages, passage reports and expense records. Access is limited by project assignment and the sharing choices made by operations. We record relevant account activity, changes and approvals for traceability. Keep uploads relevant to the service; do not upload passwords, payment-card details or unnecessary identity documents.
Where a satellite tracking link is provided, choosing it opens the tracking provider’s page in a new tab. The provider controls that page’s sharing settings and any password requirement. If the optional in-portal position feed is configured instead, it displays positions filtered by assigned device and passage dates; opening its map connects your browser to OpenStreetMap.
Optional assistance and notifications
If AI assistance is enabled, an authorised operations team member may send a selected report or document to OpenAI to prepare a draft or extract factual details. This is a deliberate review action, not automatic processing of every upload. Outputs require human checking and do not decide insurance cover, safety, navigation or expenditure. Please tell us if you require manual handling of your documents.
When enabled, Resend processes recipient addresses, branded email content and delivery-status information for enquiries, invitations, proposals and project notifications. Enquiry copies and issued proposals may be sent as PDF attachments. Routine project notifications link to the authenticated workspace; private uploads are not automatically attached. We retain sending records for operational traceability and handle bounced addresses and complaints. Replies go to our business mailbox, not automatically into the portal. Our team can confirm which connections are active for your project.
